Accounts Payable and invoicing information
ºÚÁÏÕýÄÜÁ¿ operates a No Purchase Order, no pay Policy policy. Invoices relating to goods and services must quote a valid BSU Purchase Order Number.
Suppliers should not provide goods and services without a valid BSU Purchase Order. If you have not received a Purchase Order, please contact the University department that engaged with you before proceeding.
For further information, please read our terms and conditions.
All invoices should be sent as a PDF attachment via email to supplierinvoices@bathspa.ac.uk. Any hard copy invoices received may be subject to delays in processing.
ºÚÁÏÕýÄÜÁ¿’s standard payment terms are 30 days from receipt of a valid, undisputed invoice, following acceptance of goods or satisfactory completion of services.
Invoices may be subject to delay in processing for valid reasons including but not limited to invoice not being received, dispute over quantity, quality, dates or pricing.
Information to include on your invoice:
- Invoice date
- Supplier name, address
- VAT registration number (where applicable)
- Valid BSU Purchase Order number
- Bank details for verification purposes.
For further detail regarding invoicing, please refer to the following for regularity requirements.
Invoice queries should be sent to: accountspayable@bathspa.ac.uk.
ºÚÁÏÕýÄÜÁ¿ does not normally process pro-forma invoices for payment, as they are requests for advance payment rather than valid tax invoices. Suppliers should submit a valid VAT invoice after goods have been supplied or services have been delivered, quoting a valid Purchase Order number. Where advance payment is required, this should be agreed with the relevant University department (who will need approval from Finance) before any invoice is submitted.

Invoices not paid within 30 days are typically those where there has been a delay due to invoices being sent to the incorrect, invoices not quoting a valid Purchase Order number, or where additional time was required to verify and resolve disputes relating to quantity, quality, dates or pricing.
The supplier setup process
If a department or school wishes to purchase goods or services from a new supplier the supplier will be asked to complete a ‘Stage 1 Supplier Onboarding Form’ and provide any supporting documents, such as insurance certificates. The Procurement Team will undertake appropriate due diligence checks, and if they are completed successfully suppliers will be asked to complete a New Creditor Form to provide additional information including bank details.
Once approved, a supplier account will be created, and the relevant University department can raise a Purchase Order for the University's requirements.
Under HMRC rules, where the University engages an individual or personal service company to provide services, the University may be required to complete a ‘’ (CEST) assessment to determine whether the engagement falls within IR35 legislation.
For change to bank details after supplier set up has been completed, please contact accountspayable@bathspa.ac.uk. We will carry out some checks and require the request on company headed paper.
